VKTY code of conduct
These are the rules of the Vantaa Street Dance Association’s Dance School and Classes. The rules have been established to clarify operations, ensure transparency, and safeguard the well-being of all participants. In addition to these general guidelines, the responsible coach or instructor may define specific “rules of conduct” applying to their area of responsibility or group. Especially in competitive, training, and representative groups, it is necessary to agree on internal instructions that complement these rules. Every member and participant is expected to comply with these rules. The Board will address any violation of the rules and will decide on the consequences.
The Board of the Vantaa Street Dance Association (VKTY) reserves the right to amend these rules at any point. Any significant changes will be communicated via the association’s website and member newsletters. The rules will be reviewed annually.
1. Registration
Membership is registered in the autumn for the full season (autumn and spring term, €30). Those enrolling in courses in the spring semester will join as members only for the spring term (€15). The enrollment in hobby dance courses is done per semester (autumn and spring separately). Registration for competitive and training groups covers both autumn and spring terms. The enrollment in summer camp’s classes is done separately. The maximum number of participants of each course depends on the type and the location of the course. The participants will be selected based on the order of their enrollment and the members of the competition groups will be selected annually through auditions.
2. Prices and payments
The prices for the courses are set before the beginning of each semester. Invoices will be sent through the association’s member services system (myClub). Timely payments ensure smooth participation. If difficulties arise with payment, an alternative payment plan should be agreed promptly with the VKTY office toimisto@vantaankatutanssi.fi.
Trial dance class
Participants may attend one (1) free trial class per course for hobby dance classes. A second attendance is considered an enrollment in the course. Note: At the start of the semester even trial classes must be registered through the member services system so that the amount of interest can be assessed. Invoices are sent only after the trial class unless the enrollment is cancelled by notifying the office (toimisto@vantaankatutanssi.fi) before the next class o f the same course (in chronological order).
Membership fee
The annual membership fee (autumn + spring) is €30. The spring-only membership fee is €15. Membership fees are invoiced separately. Membership is required to attend classes, apart from a single trial class.
Semester fee
The semester fee for hobby dance classes is invoiced via the member services system in September (autumn) and January (spring) with 14-day payment terms. For mid-term registrations, invoices are sent shortly after enrollment. Paying the semester fee is slightly more affordable than using a serial ticket. Single tickets are not sold.
Serial tickets
Participation in hobby dance classes is also possible with a serial ticket (subject to available spots). Single tickets are not sold. Serial tickets are available for either 5 or 10 classes. A membership is required to purchase a serial ticket.
Workshops
Workshops are organized for beginners, advcanced dancers and professional dancers. Fees depend on the length of the workshop and the number of instructors. Registration is done through a designated form or system. Prices and payment terms are announced separately.
Training / Competitive / Representative groups
Before each operating year, the Board decides which training, competitive, and representative groups will be formed. Admission to training groups is through auditions or another method approved by the coach/The Board. A guardian’s consent for under-18s is required. A dancer admitted to a group commits to it for the entire season (autumn and spring). By accepting a spot in the group, the dancer also commits to the group’s training, competitions, competition related fees and potential fundraising activities. Group budgets are set at the beginning of the season to cover coaching expenses. The coaching fees are divided into equal monthly installments. Group-specific instructions may be provided when necessary.
3. Supportive membership
In addition to regular membership, supporting memberships are available. Supporting member may assist either a chosen group or the association as a whole through their contribution. For more information, contact toimisto@vantaankatutanssi.fi.
4. Family discount
VKTY offers a family discount for all family members residing in the same household who enroll in VKTY’s courses during the same semester. The discount is granted from the second family member onward. The amount is set each term. The discount applies when at least two family members from the same household participate in the same semester. It applies to semester fees, anytime passes, and training group fees, but not to serial tickets, workshops, summer camp classes, competition costs, membership fees, dance hall rentals, solo/duo training packages, etc.
5. Cancelling your participation
All cancellations must be made by emailing the office toimisto@vantaankatutanssi.fi. Cancellations cannot be made verbally to teachers/coaches or only in the member system. Simply not attending is not considered a cancellation. For competitive/training groups, single absences must be reported to the coach as instructed. Absences from hobby dance classes do not need to be reported, but they may be compensated with another class.
Registration and cancellation policies that apply to all payments
Registration is binding according to the valid price list. Each registrant accepts that invoices must be paid. Fees are non-refundable if the participant discontinues mid-term. Cancellations are only possible before the invoice due date. Paid invoices are binding, and subsequent cancellations or refunds are granted only with a medical certificate.
If cancellation is made after the second class of the course in chronological order, the association will charge 20% of the semester fee.
After the third class of the course (in chronological order), 40% of the semester fee will be charged.
After the fourth class of the course (in chronological order), the full semester fee is charged.
Refunds require a valid medical certificate. Membership fees are always required if attending more than one class (trial class) of the same course.
Workshops
Workshop registrations are binding. Refunds are possible only with a medical certificate.
Competition / Training / Representative groups
Refunds are possible only with a medical certificate or another substantial reason (e.g.moving to another area). Cancelling the participation is possible on a per-semester basis and the semester’s invoices must be paid accordingly. Both the coach and the office must be notified of cancellation.
6. Absence
Participants must be in good physical condition to attend classes. Each participant (or their guardian, if under 18) is responsible for assessing their health. Instructors may restrict participation for health reasons. VKTY is not obliged to provide compensation in such cases.
Absences without a medical certificate
VKTY does not refund fees for absences caused by personal reasons (illness, travel, school obligations, etc.). Absences may be compensated with another class of equal or shorter duration during the current season only. Compensation class forms are available at Studio VKTY. Absences due to public holidays can also be compensated as VKTY does not organize extra classes to cpver for these . Autumn and winter break classes are already accounted for in the semester fee and therefore cannot be compensated.
Medical certificates
In the case of long-term (more than four weeks) illness or injury, VKTY may refund the dance classes already paid against a medical certificate. Sick leave that last less than four (4) weeks will not be refunded.
If the illness lasts for more than four (4) weeks, no compensation/refund will be paid from the first 4 weeks. Refunds apply for sick leave after the four (4) week period.
All refunds will be processed by the Chairman of the Board/ Finance Manager.
Rules concerning VKTY
VKTY strives to provide substitute teachers in unexpected situations such sudden illness etc. However, the association reserves the right to cancel one dance class per group per semester without compensation if no substitute or another location can be arranged. Further cancellations entitle the participant to a replacement class. VKTY will inform the dancers on the cancellations by email or SMS. If there are two or more cancellations during the semester, the participant has the right to participate in another class to compensate for the other one (1: 1).
- Teacher’s long term absence
If the teacher is absent for a longer period of time, VKTY has the right to assign a substitute teacher or change teachers/coaches mid-term. This does not affect fees.
- Cancellation of a class or a dance group
Each class has a minimum number of participants set by the Board. If the minimum is not met, VKTY may cancel the course and fees are charged only for classes held. If a course is discontinued mid-term, only the completed classes are invoiced. Any overpayment will be compensated by offering another course or in special cases as a 1:1 payment refund. However, VKTY is not responsible for cancellations caused by the negligence, error or event of a third party (such as errors in the school’s booking system or other reasons beyond our control).
- A permanent change in the schedule
If VKTY changes the time or location of a course, the participant may withdraw, paying only for classes held prior to the change. Similarly, if the dance style or class description is changed significantly mid-term, the participant may withdraw under the same conditions.
7. Insurance
VKTY holds liability insurance covering potential damages to training premises. However, each participant must have their own insurance covering accidents during dance classes etc., especially in competitive and training groups.
8. Locations
Classes are held in rented spaces (Studio in Iso-Myyri) and in facilities owned by the City of Vantaa. Vantaa city regulations and rules apply to the city’s facilities and should be followed. Location details are available on the association’s website.
9. Equipment
Participants must wear appropriate clothing for each class. Many classes are physically intensive, so a water bottle and a towel are recommended. Clothing should be breathable and flexible. Long hair must be tied back if necessary. Only suitable indoor footwear may be used, and jewelry should be removed during classes.
10. Permission to use pictures, recordings etc.
VKTY uses recordings and documentation in its teaching and activities. Recordings taken during classes, performances, and competitions are the property of VKTY, and the association reserves the right to use them. Recording by others is prohibited unless otherwise agreed. Participants must notify the association in writing if they do not consent to their photos or videos taken in class (note: this does not apply to public performances/competitions). For published photos, dancers may request removal by contacting the office. Joining a competitive/representative groups requires consent for recordings/photos.
11. Fundraising for groups
Groups may carry out fundraising activities with Board approval. Funds are primarily directed to the group’s own expenses and distributed equally among members. Fundraising activities may include:
Group performances
Catering at events
Product sales campaigns
Sponsorship and partnerships (must be approved by the Board)
Volunteer work
Each group manages its own fundraising. VKTY does not organize any fundraising for the groups.
12. Performing and representing VKTY
All members and representatives of VKTY are expected to demonstrate sportsmanship, fairness, and encouragement toward other dancers, associations, and dance schools. This also applies when wearing club or team attire in free time. VKTY promotes healthy, safe, and environmentally responsible practices, such as being smoke-free, substance-free, and environmentally conscious, and expects representatives to reflect these values in association’s events and personal conduct.
