Registration and Cancellation Policy
Cancellations
All course cancellations must be made by emailing the office: toimisto@vantaankatutanssi.fi.
Note! You cannot cancel your participation verbally, e.g. to the teacher, or do it yourself in the myClub membership system. Simply missing a class or group does not constitute a cancellation if you have not canceled your participation by notifying the office.
Individual absences
From weekly classes
You do not need to report individual absences from weekly classes separately, but you can do so in the “events” section of myClub if you wish. For those who have paid the semester fee, an individual absence from weekly class entitles you to a compensation class. Compensation forms can be found in the lobby of the VKTY studio, and you must fill out the form and bring it with you to the class. You can also print the class compensation form here.
From coaching group classes
For coaching groups, individual absences must be reported to the group coach according to their instructions.
Registration and cancellation policies
Rules that apply to all payments
Registration is binding according to the current price list. By registering, you accept that the invoice is due for payment. The payment is not refunded if the customer wants to quit going to the classes in the middle of the semester.
Registration can only be canceled before the due date of each invoice. A paid invoice is considered binding for registration, and subsequent cancellations and possible refunds will only be processed against a medical certificate.
If the cancellation notice has not been made before the start of the second dance class of the same course in chronological order, the association has the right to charge the customer 20% of the price of the billing period. If the registration is canceled only after the third dance class, the association has the right to charge the customer 40% of the price of the billing period.
After the fourth dance class in chronological order, the payment for the billing period is due for payment in full. In order to get a possible refund, the customer must submit a medical certificate related to the subject. “A class” refers to a dance class of the course held in chronological order, regardless of how many classes the student has actually attended. To receive a possible refund, the customer must provide a relevant medical certificate. The membership fee must always be paid if you attend the same course more than once (try-out class).
Regarding workshops
Workshops are often held by visiting teachers. This often also includes travel and accommodation costs.
Registration for workshops is binding and the customer accepts payment of the invoice by registering, even if they do not participate.
Refunds and credits are only possible against a relevant medical certificate.
Regarding competition and coaching groups
Refunds and credits in all competition and coaching groups are only possible against a relevant medical certificate or other thorough explanation (relocation to another area etc.).If a participant wishes to discontinue training for any reason, this can only be done at the end of a semester (autumn/spring) billing wise. For competition and coaching groups, you must notify both the coach and the office toimisto@vantaankatutanssi.fi of your decision to leave the group.
Absences
Guidelines for students
Participation in classes requires good physical condition. Each participant is responsible for their own health when making a decision to participate in a class (for those under 18 years of age, their guardian). However, the instructors have the right to restrict a dancer’s participation in a class for health reasons. In these cases, VKTY is not obliged to compensate the participant for the classes.
Absences without a medical certificate
VKTY is not obliged to refund/credit the customer for participation/class fees that have not been used due to reasons attributable to the customer, e.g. illness, travel, school commitments, etc. Absences may be compensated by attending another dance class.
Medical certificates
In the case of a long-term (more than four weeks) illness or injury VKTY can refund dance classes, that have already been paid for, against a medical certificate. Sick leave of less than four (4) weeks will not be refunded/credited.
If the illness lasts more than four (4) weeks, the first 4 weeks will be considered a waiting period, for which no refunds will be made. Refunds apply to sick leave exceeding those four (4) weeks.
All refunds will be processed by the Finance and Development Manager.
Policies regarding VKTY
VKTY strives to ensure instructor resources even in exceptional situations (such as sudden illness). However, VKTY may cancel a dance class once per group per semester without any obligation to refund, if a substitute or replacement practice space cannot be arranged. We will notify you of cancellations by email or text message.
If there are two or more cancellations, the participant has the right to participate in a compensation class (1:1).
Long-term absence of the dance teacher
If the dance teacher is absent for a longer period, VKTY has the right to change the teacher/substitute during the semester. This change has no effect on the amount of the fee.
Cancellation of a class or group
In order for a class to be held, a minimum number of participants is specified for each class.
If a class does not take place and is terminated by VKTY, the customer will not be charged. However, VKTY is not responsible for cancellations caused by the negligence, error or event of a third party (such as errors in the school’s booking system or other reasons beyond our control).
If a dance class has to be terminated by VKTY in the middle of the semester, the customer will only be charged for the classes that have been completed. If the payment has extended beyond the termination date, VKTY will compensate the customer for the difference primarily with another class offer or, in special cases, as a 1:1 monetary compensation.
Permanent change to the order of class
If the time or location of a class is changed by VKTY, the customer has the right to cancel their participation in the class. The customer will only be charged for the dance classes prior to the change.
If the dance style or class description of the class has to be changed mid-season, the customer has the right to cancel their participation in the class, in which case the customer will only be charged for the dance classes prior to the change.
