Privacy policy in accordance with sections 10 and 24 of the Personal Data Act (523/1999) and the EU General Data Protection Regulation (GDPR).

4. Purpose of processing personal data
Personal data are used for managing member and customer relationships, maintaining membership, organizing competitions and recreational activities, electronic member communications and marketing, reporting, as well as implementing and developing customer service and operations. The legal basis for processing personal data, in accordance with the EU General Data Protection Regulation (GDPR), is the individual’s consent.
5. Data content of the register
The register is maintained in the member information system.
We process the following personal data about the registered users that is necessary for the purpose of use:
- contact information (name, address, telephone number, email address, and for minors, also the contact information of the guardian)
- registration information (username, password)
- date of birth
- information regarding the membership and customer relationship, such as billing and payment information, as well as course and participation information
6. Regular data sources
Personal data is generally obtained from the member/customer directly via the member information system or by email or telephone.
7. Regular disclosure of information
The Vantaa Street Dance Association does not disclose information to any external parties, except to the Finnish Dance Sports Federation STUL ry in the form of a membership register. Only the following information is provided to the Finnish Dance Sports Federation: last name, first name, municipality of residence.
8. Transfer of data outside the EU or EEA
Data is not routinely transferred outside the EU and the European Economic Area.
9. Principles of register protection
Manual materials regarding the register are kept in locked cabinets. Digitally stored and processed data are protected by firewalls, passwords and other technical means. This data is only accessible to those persons who have a need to use the data based on their job duties.
10. Right of inspection
The data subject has the right to check what information about them has been stored in the register. Data subjects can check their own data in the member information system or by submitting a request for inspection in writing to the Vantaa Street Dance Association office email. The data will only be disclosed to the data subject or their guardian within a maximum of one month of submitting the request. The identity of the data subject or their guardian will be verified when the data is disclosed.
11. Right to request correction of information
The registered person can correct their information in the member information system. They or their guardian have the right to demand that incorrect information be corrected by notifying them in writing to the postal address above or by email to toimisto@vantaankatutanssi.fi.
12. Other rights related to the processing of personal data
We only retain data for as long as necessary to fulfill the purposes specified in section 4 in accordance with applicable law. If the data subject has not registered for the activities offered by the Vantaa Street Dance Association to its members and customers in the last 5 years, and the membership or customer relationship or other basis for processing personal data has ended, the data subject’s personal data will be deleted. However, we may be obliged to retain some personal data in order to comply with accounting or other mandatory legislation even after the membership or customer relationship or other basis for processing personal data has ended.
